LATE FEE & LMS ACCESS POLICY

Purpose
This policy establishes the rules governing delayed payment of course fees, applicable late fees, suspension of academic and LMS services, reinstatement of services, prolonged suspension, batch transfer, and exceptional circumstances.
The purpose of this policy is to maintain a clear, consistent and transparent fee-payment process while also providing a mechanism for genuine exceptional circumstances where a student is unable to continue their studies due to circumstances beyond their reasonable control.
Fee Schedule and Due Dates
The complete fee and instalment schedule applicable to a student's admission is communicated to the student at the time of admission.
The due dates specified in the applicable fee schedule shall be considered the official payment due dates. Students are responsible for ensuring that the applicable instalment is paid on or before its due date.
Applicability and Transitional Provision
This policy shall come into effect on 21 September 2026.
The regular late-fee provisions of this policy shall apply to all fee instalments having a due date on or after 21 September 2026.
3.1 Instalments Already Overdue Before the Effective Date
As a transitional measure, instalments that became due before 21 September 2026 and remain unpaid on that date shall also be brought under this policy, subject to the following transitional late-fee calculation:
- Before 21 Sept 2026: Late fee calculated at ₹12.50 per day (50% of the regular rate).
- From 21 Sept 2026 onwards: Regular late fee of ₹25 per day applies.
- Maximum Cap: Total late fee remains capped at 15% of the relevant instalment amount.
3.2 Instalments Paid Before 21 September 2026
Where an overdue instalment is fully paid before 21 September 2026, no late fee under this policy shall be charged — the instalment shall have no outstanding balance on the date this policy comes into effect.
Late Fee for Delayed Payment
₹25 per day late fee from the day immediately following the due date until the instalment is paid.
Where the transitional provisions of Section 3 apply, the applicable transitional rate shall be used for the period before 21 September 2026, followed by the regular rate from 21 September 2026.
The late fee shall be calculated separately for each overdue instalment.
Maximum Late-Fee Cap
- The total late fee for any individual overdue instalment shall not exceed 15% of that instalment's amount.
- Once the cap is reached, no further daily late fee shall accrue on that instalment.
- However, reaching the cap constitutes a payment-default condition under this policy.
- The cap is calculated separately for each overdue instalment.
Suspension of Classes and LMS Services
Once the maximum permissible late fee for an outstanding instalment has been reached, the student's classes and LMS-related services shall be suspended.
Such suspension shall include, as applicable:
- LMS access
- Access to course content and recorded lectures
- Online academic resources
- Tests, assessments or other LMS-based activities
- Attendance / access to classes
- Other academic services associated with the admission
Reinstatement of LMS and Academic Services
Where LMS and/or academic services have been suspended, reinstatement shall be subject to clearance of all amounts required for reinstatement.
Before reinstatement, the student must clear:
- The entire outstanding fee / instalment amount
- All outstanding late fees applicable up to the date of payment
- A ₹2,000 LMS Reinstatement Charge
The LMS Reinstatement Charge is separate from the outstanding course fee and late fee and shall not be adjusted against either. Reinstatement shall be processed only after the required payments have been received and verified.
Exceptional Circumstances and Humanitarian Consideration
The Institute recognizes that exceptional situations may arise in which a student is genuinely unable to continue their studies or comply with the normal payment and academic requirements due to circumstances beyond their reasonable control.
Such circumstances may include serious medical treatment or other exceptional situations where, in the reasonable judgment of the Institute, humanitarian consideration is warranted.
8.1 Eligibility
A student may request an exceptional-circumstance concession where circumstances beyond the student's reasonable control materially prevent the student from continuing their studies or meeting the normal payment requirements. Approval is not automatic merely because a circumstance is described as exceptional.
8.2 Application Procedure
The student or, where appropriate, their parent/guardian must submit a formal application using the prescribed Exceptional Circumstance Hold / Batch Transfer Application Form. The Institute may request additional information or documentation where necessary.
8.3 Clearance of Dues Before Approval
An exceptional-circumstance application shall not automatically stop the accrual of normal dues or late fees. As a condition for implementation of an approved exception, all applicable fee dues and late fees up to the approved effective date must first be cleared.
8.4 Management Approval
The exception shall become effective only after:
- The application has been reviewed
- The required supporting documents have been submitted and found satisfactory
- All applicable dues and late fees up to the approved effective date have been cleared
- The management has formally approved the exception
8.5 Effective Date and LMS Pause
Once an exception has been approved, the student's classes and LMS-related services shall be paused from the approved effective date. The exception shall not operate retrospectively. All financial obligations accrued up to the approved effective date remain payable.
8.6 No Refund
Approval of an exceptional-circumstance concession shall not create any entitlement to a refund of fees already paid. Unless expressly approved otherwise by management, the exception shall also not result in automatic adjustment or transfer of previously paid fees to another admission.
8.7 Duration and Extension
The duration of an approved exception shall be determined by management based on the circumstances presented and the supporting documentation. An approval for a particular period shall not create an automatic entitlement to an indefinite extension. A further application may be required for any extension.
8.8 Exceptional Circumstances and Six-Month Provision
The provisions relating to prolonged suspension and withdrawal after six months shall continue to apply unless management expressly approves a different arrangement. Any special relaxation beyond the normal six-month framework must be specifically approved by management.
Prolonged Suspension and Batch Transfer
If the student's classes and LMS services remain halted for an extended period and continuation with the original batch is no longer reasonably feasible, the Institute may require the student to transfer to an appropriate subsequent batch.
- Within 6 months: A pro-rata batch-transfer or continuation charge may be applicable.
- Batch Availability: Batch transfer remains subject to availability and academic and operational feasibility.
The prescribed Exceptional Circumstance Hold / Batch Transfer Application Form must be used where a student is requesting a hold, batch transfer, or a combination of both.
Suspension Exceeding Six Months
Upon such withdrawal:
- The student's LMS and academic access shall cease
- Certificates, credentials and academic access shall be forfeited, to the extent applicable
- Fees already paid shall not be refunded
- Such fees shall not be carried forward or adjusted against a future admission
- Any future enrolment shall be treated as a fresh admission
- The student shall be subject to the fee structure prevailing at the time of fresh enrolment
No Automatic Waiver or Refund
Except where expressly approved by the Institute in writing, no provision of this policy shall be interpreted as creating an automatic right to:
- Refund of fees already paid
- Adjustment of previously paid fees against another admission
- Waiver of outstanding course fees
- Waiver of late fees accrued before an approved exception
- Indefinite continuation of an admission
- Retention of an earlier batch's fee structure for a future admission
Management Discretion
The Institute reserves the right to review individual cases and determine the appropriate action in accordance with this policy. Any exception, concession, waiver, batch transfer, extension, or reinstatement approved in an individual case shall not automatically constitute a precedent or entitlement for other students.
Interpretation and Implementation
This policy is intended to provide a uniform framework for handling delayed fee payments and related academic/LMS access. Where a situation is not specifically addressed in this policy, the Institute shall determine the appropriate course of action based on the circumstances, applicable admission terms, academic requirements and operational considerations.
The Institute reserves the right to amend, modify or replace this policy in the future. Any such amendment shall apply prospectively unless expressly stated otherwise.
